1. Who we are

EmailGPT is a desktop and mobile email client published by XIONAI COMPANY LIMITED ("Xionai", "we", "us"). You can reach us at hello@aurelight.com. Company registration number 2902272132, registered address: Du Thinh Hamlet, Dong Hieu Commune, Nghe An Province, Vietnam.

EmailGPT is intended for professional and business use. You must be at least 18 years old and have authority to use the mailbox and information you connect. If you act for an organization, you must be authorized to use the service on its behalf.

Hosted AI features are available only in countries and regions where we can provide them lawfully and where the underlying Gemini API is supported and permitted. You must not misrepresent your location or bypass geographic access restrictions. Mailbox access remains subject to your mail provider's requirements. Availability of the app in a store does not establish that every hosted AI feature is available in your location.

By downloading or using EmailGPT, or by subscribing to it, you accept these terms.

2. What a subscription covers

• A subscription unlocks the AI features of EmailGPT for one account. One account is one mailbox, one email address.
• The AI features are AI Reply, Translate, Summarize and the daily briefing.
• The email client itself can be downloaded and used without a subscription: reading, folders, search, sending and receiving mail keep working either way.
• The licence belongs to the mailbox it was bought for. Write to us if you need it moved to a different mailbox.
• AI usage carries a fair-use limit per account per calendar month. An account that passes it has its AI features paused until the next month. Ask us if you need the limit raised.

3. Payment, renewal and cancellation

Orders placed through our online reseller Paddle.com use Paddle as Merchant of Record. For those orders, Paddle runs the checkout, issues the invoice, calculates and remits sales tax or VAT where it applies, and handles payment-related enquiries.

• Paddle plan prices are in US dollars and are shown before you pay. Tax is added at checkout where your country charges it.
• Paddle subscriptions renew automatically at the end of each period, at the price you subscribed at, until they are cancelled.
• To cancel, use the subscription link in your Paddle receipt email or write to hello@aurelight.com. Cancelling stops the next renewal. The AI features stay on until the end of the period you have already paid for.
• Where enabled, VietQR bank transfers buy individual prepaid plans directly from EmailGPT in VND. The exact price is shown before you pay. AI access starts after payment is verified; a same-plan renewal extends the prepaid period. These purchases do not renew automatically or reset monthly AI usage.
• Refunds for both payment methods are covered on the refunds page.

4. Your account, your responsibility

• You sign in with a mailbox you already have. You are responsible for keeping those sign-in details safe and for having the right to use that mailbox.
• Review AI-generated drafts before sending and check translations, summaries, extracted action items and other outputs before relying on them. You control what you send and are responsible for ensuring that its content is accurate, appropriate and authorized. AI output can be incorrect, incomplete or misleading.
• If you use EmailGPT for work, follow your employer's own rules about company mail.
• Before using AI, ensure that you have the rights and any permissions required to transmit the relevant messages, attachments, instructions and company documents to the processing services explained in our Privacy Policy. Follow your organization's confidentiality and information-handling requirements. Do not submit information if your obligations prohibit this processing or require controls that the deployment does not provide.

5. Acceptable use

You agree not to:

• send spam or bulk unsolicited mail, or anything unlawful, deceptive or harassing;
• use the AI features to produce content that breaks the law or another person's rights;
• share, resell or sublicense one account's subscription across several mailboxes or several people;
• reverse engineer the software or work around the licence checks, except where the law expressly allows it;
• try to break into, overload or disrupt our service, or to get around the fair-use limits.

We can suspend or end an account that does these things, or one that has not been paid for.

6. Your mail and AI processing

Mailbox synchronization connects your device directly to your mail provider and keeps a local cache. It does not create a synchronized mailbox copy on the EmailGPT server. AI requests, company knowledge-base documents and support submissions are separate transfers and may include mail content.

When you choose an AI action, relevant information is sent through the EmailGPT server to an AI provider. Depending on the feature, this can include message subjects and bodies, sender information, selected attachment text, your instructions, conversation context and company document excerpts. Some features also send text to create numerical representations for knowledge-base search. Results return to your device and may be cached locally.

In supported app versions offering Google sign-in, automatic AI starts off for mailboxes connected through that option. If you enable it for a mailbox, the enabled features may send relevant recent content without another button press. You can turn it off in Settings for future automatic requests. Explicit actions continue to send the content needed for the action, and other sign-in methods follow their available AI settings. Disabling AI does not recall content already processed.

Our operating policy is to use the Gemini Developer API under Paid Services terms for hosted AI processing. If the applicable paid processing status cannot be established, we will suspend the affected hosted AI processing until it is confirmed. We will not enable optional sharing of customer prompts or responses for training or product improvement. These operating commitments do not constitute a promise of zero provider retention. See the provider handling described in our Privacy Policy, Gemini API terms and abuse-monitoring policy.

We will not use Google user data, or data derived from it, for advertising, sale, prospect lists, or development, improvement or training of generalized AI or machine-learning models. Google user data and transfers remain subject to the Limited Use commitments in our Privacy Policy. We will apply those restrictions to providers processing such data for EmailGPT.

You retain your rights in the material you provide. You authorize us to process it only as necessary to supply the requested or enabled service and as otherwise explained in the Privacy Policy, subject to its Google-data restrictions. This does not authorize us to train generalized models using your Google data.

AI output is assistance, not a guarantee. Check important facts, figures, recipients, deadlines and attachments against the source material before using a result. Do not rely on AI output alone for decisions requiring professional judgment or affecting a person's rights or safety.

The Privacy Policy explains server-held account and usage records, stored company documents, feedback and diagnostic sharing, provider handling, and deletion choices. Technical logs and support submissions can contain personal information. Removing a mailbox locally or revoking its connection does not automatically delete its provider mailbox, server account, support records or provider-held AI data. Use the relevant app controls and contact hello@aurelight.com for server-data requests.

For an employer-managed deployment, ask the operator which AI provider and data-handling arrangements apply before submitting restricted or confidential information. A different deployment does not remove EmailGPT's Google-data obligations.

7. Availability and support

We work to keep the AI service available, but we do not promise uninterrupted service. Maintenance, network problems and outages at our AI provider all happen. During an outage the email client keeps working on your machine; it is the AI features that pause.

8. The software is provided as it is

As far as the law allows, EmailGPT is provided "as is" and without warranties of any kind, including fitness for a particular purpose. Your mail lives on your own computer, so keep your own backups.

9. Limit of liability

As far as the law allows, our total liability for any claim connected with EmailGPT is limited to the amount you paid us in the twelve months before the claim. We are not liable for lost profit, lost business, or data lost from your own device. Nothing here limits liability that cannot be limited by law.

10. Changes

We may update these terms and our prices. If a price change affects a renewal of yours, we tell you before it takes effect. Using the subscription after a change means you accept the updated terms.

11. Governing law

These terms are governed by the laws of Vietnam, and any dispute goes to the competent courts of Vietnam. This does not take away the consumer rights of the country you live in.
